Official / General

  • We are switching our general liability insurance policy to Chubb as of Dec 1.

In preparation for the completion of the renovation to your commercial condominium, I’m pleased to present the Chubb Business Owners Policy tailored for your nonprofit’s condominium. Below are the key details of the coverage:

Building Improvements, Betterments, and Contents Coverage:

  • Total Coverage Amount: $935,000
  • Deductible: $1,000

 

General Liability Coverage:

  • Coverage Limit: $2,000,000 per occurrence with a $4,000,000 policy aggregate
  • Includes hired and non-owned auto liability coverage
  • Note:  Employee Practices Liability coverage is provided through the Directors & Officers liability policy.
  • Privacy and Breach Coverage:  Coverage Limit: $100,000

 

Commercial Umbrella Policy:

  • Coverage Limit: $1,000,000

 

Total Annual Premium:

  • $3,623 per year.
  • Your current Liberty Mutual Insurance policy premium is $4,968.

Financials

  • Starting with the September close, BraunWeiss is no longer responsible for the bookkeeping function. To comply with GAAP, I will record my donated time to complete this function as $500 in revenue “Donated Professional Services” with an offset to expense of “Donated Professional Services”. The $500 is the average monthly fee previously charged by BraunWeiss.
  • The Business Money Market account interest rate has been reduced from 4% to 3.49% following the Fed’s October rate cut.
  • Funds available for operating and clinic renovation as of 10/31/24 : $354,731.

(Business checking $21,208, Business Money Market $324,134, PayPal Bank $4,405 and undeposited funds from Wix from October and interest earned on bank accounts for October deposited in November).

We discovered that we were never “paid” for the yoga events that happened earlier in the year. We should have received about $2000 but instead received $1,577.28 (Sep 17).

Services (Spa Days, Bunsitting, Bonding)

 

Spa Days

  • Westford Spa Day September 14th held at the Westford Library.  The team saw 56 rabbits in the 3 hours and 15 minutes for this first offsite spa day.  The spa raised $1,375 in pre-sales and another $195 in additional donations at the event.  We can not collect any cash at the library so we use a Zeffy QR for any other donations.
  • Westford Spa Day October 19th was held at the Westford Library.  The team saw 64 bunnies in the 4 hour event, utilizing five teams of groomers and one person training.  The spa raised $1,600 in pre-sales.  Vet bill for Charlie was submitted totalling $1,075 which HRN Board of Directors has approved for payment.
  • South Shore Spa Day was held on November 2nd in Hanson, MA at Hanson Grain and Pet.  The new south shore team saw 37 rabbits during the 4 hour event.  The spa raised $950 in pre-sales.  Three teams of groomers with 3 volunteers training were present at the event.  Some adjustments are needed to the event moving forward but Dawn and Bonnie are working with Sharon for the next time.

 

Bunsitting

    • 60 paid requests since August update totaling $11,745. Lauren S. informed me that an additional $400 was added under bunsitting for Jane Ward’s bunnies, but was not paid via an invoice since it was not a formal request.
    • 44 requests are scheduled up to 5/25/25 with 6 open requests
    • 11 new sitters were onboarded and 1 asked to be removed from the group. Also, currently in the process of bringing on more sitters to cover the holiday requests that are steadily rolling in.
  • 3 sitters were given the bunsitter discount totaling 36 days between them

Bonding

 

  • In person bonding total since August update: $350 (currently in progress)
  • 3 virtual bonding consultations since August update totaling $75

Grants

Impact report has been submitted for the Felicia Rose Grant. We should be getting the second $10k disbursement approximately Dec 15.

Mac funds were fully spent XXX. Report has been submitted.

Shelter

At this point the shelter space is still temporarily empty and closed. The renovations are moving along. There were a few minor delays which have pushed the opening of the shelter to potentially the week of December 9, 2024. While the shelter space remains empty, the “shelter” is still operating business as usual. Adoption appointments happen at either Suzanne’s home or at the individual foster homes. Surrender applications are still rolling in and we are doing intakes as soon as we find an open spot. There are currently over 40 people on our intake list waiting for a spot to open up. HRN currently has 131 rabbits in their care. Of the 121 rabbits in foster homes, 83 are available for adoption. We have 25 bunnies on our active spay and neuter list waiting for an appointment and some litters who are still a bit young to add to the list. 

 Jessica and Lauren continue to go to Suzanne’s house a few times during the week to help with rabbit care. Jessica has written the SOPs for the shelter and is continuing to work on edits and adding some simple instruction sheets for the volunteers at the shelter to make daily tasks easier to understand. 

On October 27, Jessica, Lauren and a handful of volunteers (Bonnie, Cara, Dawn and Christie) attended the Midwest Bunfest in Hilliard, Ohio. It was an amazing experience and we have all come back with some great ideas and wonderful contacts to help us potentially bring a BunFest to New England. 

Jessica is heading up plans for a grand reopening extravaganza at the shelter once everything is back in place . Stay tuned for a save the date. 

Clinic

  • Work has begun on the initial stage of clinic setup, including researching recordkeeping software, pricing structure, employees, legal compliance, liability mitigation, and business standards. 
  • The construction of the clinic and shelter modifications are deep into the schedule.  Rough-in inspections for all major subsystems are complete.  The new second floor space is roughed in with all subsystems, framing and subflooring (This is all on a separate permit as required by the town).  The HVAC is near completion for the entire space.  Electrical is also nearing completion but will be awaiting the drop ceiling installation.  Plumbing is awaiting final fixture installation which will start as soon as the floor is complete.  The plan is to begin the floor prep this week (11/20) and be complete the weekend after Thanksgiving.  The floor is the current critical path item that will determine the date for the final occupancy permit for the facility.  The plan is to have all subsystems signed off by 12/13/2024.  The team is working hard with Cole and the town of Westford to get approval for the shelter to be reopened before 12/20/2024.  

Foster Homes 

  • We have added two new members. 
  • Kari O and Emily D.  Kari’s main responsibility will be to manage foster home vacation coverage. Em will be checking in regularly with foster homes
  • Foster home info session scheduled for 11/13/2024 7PM

  • Working on monthly foster home newsletter

Hotline

  • Everything is running smoothly on the hotline. We have had one departure and two additions:

  • This quarter has been unusually quiet, so we have more than enough coverage. I don’t anticipate needing any new volunteers until we have volunteer departures (none upcoming that I know of).

Outreach, Volunteering & Events

  • Events attended:

      • None. Outreach events will start up again in spring.
  • Volunteers: 
      • Maura L. joined the outreach committee.

      • Plans to send out blast email to all applicants that have inquired about shelter volunteering since our shutdown once we’ve reopened and have the new shelter SOP manual finalized. Will coordinate with Jessica re: group volunteer orientations once our need for new volunteers is determined.
  • Other outreach:
    • Nikki has made plans with NHSPCA to give a talk to all of their employees about rabbit care in January.

 

RHD

2 clinics were held Sep 29 and Oct 20. They were not as well attended as the previous winter clinics but still good to get many rabbits vaccinated. 

 

Intra-Meeting Board Decisions

Bonnie provided an updated cost estimate for the shelter renovation on September 19th via email which was approved by the Board via email by September 23

There was an incident at the Oct 19, 2024 Spa day where a rabbit was injured. The board agreed to reimburse the vet bills for the injured rabbit.
